Terms and Conditions (T&C)
1. Conditions for submitting applications and registration
1.1 These terms and conditions apply to online meetings called Career Café ("Career Café", "Events") and set out the rules for participation, use of this service, rules for the protection of personal data of participants, and the rules for withdrawing from the contract.
The Events are organised by the Polonium Foundation with its legal address in Warsaw (plac Bankowy 2, 00-095 Warszawa, Poland, NIP 701-058-44-08, KRS 0000621890) with the participation of the strategic partner of the Genetics Society of America (hereinafter GSA) 6120 Executive Boulevard Suite 550 Rockville, MD 20852 (240) 880-2000 USA, together with a team of volunteers, hereinafter referred to as the "Organisers".
Cooperation with GSA concerns the organisation of Event on 8 March 2022.

1.2. The provisions of these Terms and Conditions constitute an integral part of the application process in order to participate in Career Café, referred to in Section 2.1. below, and so they apply to all people who have registered for participation in the Event (“Participants").
1.3 The official website of the Events can be found at: https://poloniumfoundation.org and on Polonium Foundation Facebook page www.facebook.com/polonium.org.
1.4. To participate in Career Café one needs to register by filling in the appropriate application form available on the website http://www.poloniumfoundation.org (“Registration").
1.5. The number of tickets for the Events is limited.
2. Eligibility
The eventsare open to everyone, in particular we encourage participation of those who at the time of registration are: enrolled students, PhD candidates, R&D researchers in academic institutions and in the private sector, science innovators, and other individuals involved with research activities.
3. Participation age
All participants must be at least 18 years old to take part in Career Café unless agreed otherwise with organisers on an individual basis.
We do not knowingly collect personal information from persons under the age of 18. If you are a parent or guardian and you are aware that your child has provided us with Personal Data, please contact us. If we learn that we have collected Personal Data from children without verifying parental consent, we take steps to delete this information from our servers.
4. Registration and fees
To participate in the events, participants will need to register before each Career Café, and will receive a link to follow on the day in order to join the platform.
4.1. In exceptional circumstances, if a participant provides false information in the registration form, the organisers reserve the right to remove them from the event.
4.2. The organisers reserve the right to change the registration dates. In this case, the information will be published on www.poloniunfoundation.org and the Facebook fan page.
5. Changes and cancellation of the event
5.1. The organisers reserve the right to change, postpone or cancel the events. In these unlikely circumstances, participants will be notified in advance. Participants are expected to check all communications from the organisers to the contact e-mail address provided, including the SPAM inbox.
5.2. The organisers reserve the right to introduce changes to the program for reasons beyond their control, e.g. cancellation of speakers. The organisers will endeavour to postpone or replace the talks if possible.
6. Complaints
6.1. All complaints regarding Career Café must be submitted by the participants in writing by a registered mail signed to the organisers' address or by e-mail: contact@poloniumfoundation.org.
6.2. Complaints must be made in writing within three (3) days after the relevant Career Café event.
6.3. After three (3) days, all complaints shall no longer be considered.
7. Data validity
All Participants are required to provide true and accurate information about themselves in the registration form. Anyone who intentionally breaches this condition may be denied registration and attendance at the event.
8. Data and information provided to us (GDPR)
8.1. The organisers reserve the right to use any material provided by the presenters to advertise the Career Café events. This includes, but is not limited to abstracts, biographies, photos, etc.
8.2. By subscribing to the Career Café event , you consent to the processing of personal data by the Polonium Foundation (Polonium Foundation, pl. Bankowy 2, 00-095 Warsaw, Poland) and strategic partner of the Genetics Society of America (hereinafter GSA) 6120 Executive Boulevard Suite 550 Rockville, MD 20852 ( 240) 880-2000 USA, for the purpose of registration for Career Café events and contact for information about Career Café events. The data will be processed for the duration of the project, promotional activities, and related administrative reports.
8.3. Personal data will not be transferred outside the European Economic Area (EEA) in the scope of sharing personal data of workshop participants as part of Career Café events.
However, if the participant decides to establish cooperation and contact with our partner of the Genetics Society of America, they will do it on their own on the basis of separate consents outside the organised project.
However, if personal data is transferred outside the EEA, we will make every effort to ensure that such transfer does not lead to a reduction in the level of protection guaranteed under the provisions in force in countries belonging to the EEA and we will inform you about this fact. In the case of transfer of personal data outside the EEA, their transfer will take place on the basis of standard data protection clauses adopted by the European Commission. You can also request additional information on the transfer of data outside the EEA and obtain a copy of the adopted protection measures by contacting us at the address provided in point 1.1.
8.4. In connection with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals about the processing of personal data and the free movement of such data, and repealing Directive 95/46 / EC (general regulation on data protection, "GDPR"), the organiser informs that:
a. Upon registration, the Participant agrees to the processing of their data by the organiser as the Data Administrator, on the terms and for the purposes set out in these Regulations.
b. The administrator of personal data is the Polonium Foundation, Pl. Bankowy 2, 00-095 Warsaw, Poland.
c. The administrator has appointed a data protection officer who can be contacted at the following e-mail address: iod@poloniumfoundation.org.
d. The Participant consents to the processing of the following personal data by the Administrator for the purpose indicated in point e. below, the following personal data: name and surname, e-mail address.
e. Personal data referred to in point d. will be processed by the Administrator to register for the webinar, including the provision of information and communication regarding the Administrator's activities, in particular information and materials regarding the subject and organisation of the webinar, including marketing and advertising information related to the eveny. After the Participant expresses a separate consent, the organiser may send to the e-mail address provided by the Participant for identification provided during registration.
f. Providing data by the Participant is voluntary, however, failure to do so makes it impossible to participate in the event. The participant has the right to access their data and correct them. The participant is obliged to update the data provided during registration immediately after the change of this data.
We have implemented and maintained security procedures as well as technical and physical restrictions on access to and use of personal data. Only authorised persons have access to personal data to perform their duties related to the organisation of the webinar.
We use third-party vendors and hosting partners to provide the necessary hardware, software, network, storage, and related technology required to operate our operations. Where practicable, we seek to obtain confidentiality agreements that comply with these terms and our Privacy Policy and that limit the use or disclosure of personal information by others.
g. Personal data will be processed for the duration of the project, promotional activities, and related administrative reports, and after this period for the purposes and to the extent required by law or to protect any claims or until the consent is withdrawn.
h. The recipients of personal data will also be:
entities providing access to and supporting the Administrator's IT systems to operate the Website and Mobile Application, and entities providing services related to the Administrator's day-to-day operations;
an entity providing Typeform server infrastructure based on appropriate contracts for entrusting the processing of personal data,
i. Each person, to the extent provided for by law, has the right to access their data and rectify, delete or limit processing, the right to object to processing, the right to transfer data, and the right to withdraw consent at any time. Withdrawal of consent does not affect the lawfulness of the processing which was carried out based on consent before its withdrawal.
j. In case of doubts related to the processing of personal data, each person may request information from the Administrator. Notwithstanding the foregoing, each person has the right to complain with the supervisory body - the President of the Personal Data Protection Office

9. Images and recordings
Participants should note that video and audio recordings will be recorded during the events. By agreeing to these regulations, you consent to the fact that if you want to speak during the webinar, you consent to your recordings being collected and then used by the organisers for marketing purposes by the Polonium Foundation and selected sponsors and partners, and advertising in media to the Career Cafe series. Participants will be able to ask questions indirectly if they do not want their voice to appear in the video.
10. Obligations of the Participants
10.1. The Participants should behave in a disciplined and cultural manner, and treat the other Participants and the Organisers with due respect. Abusive language and inappropriate behaviour are prohibited. In case you witness or experience abusive or inappropriate language or behaviour, please report to the Organisers as soon as possible either in person or through a private message using social media or email.
10.2. The Participants who violate the rules in these Terms and Conditions may be expelled from the Career Cafe event.
11. Disability and assistance
All participants are asked to inform the organisers about any conditions of whatever nature that will cause them to require additional assistance to participate in the event. Organisers reserve the right not to be able to accommodate any special requests in a safe manner. In such a case, the participant will be notified via email.
12. Intellectual property
The names, images and logos identifying Polonium Foundation and its materials and services are subject to copyright and design rights of Polonium Foundation.
13. Final Provisions
13.1. Any disputes that may arise from participation in the events will be settled by the court appropriate for the official address of the Organiser.
13.2. In matters not regulated by these Terms and Conditions the rules of the Civil Code will be applied.
13.3. The name Polonium Career Cafe, the event logos and all the material and graphics associated with the event are the property of the Polonium Foundation and are protected by copyright.
13.4. The Organisers reserve the right to use the contents of the materials provided by the presenters (including abstracts, CVs and photos) for the purposes of advertising, promotion and marketing of the event and sharing with the funders.
13.5. All personal data submitted will be administered by Polonium Foundation (plac Bankowy 2, 00-095 Warszawa, Poland). The personal data included in the registration for the event will be processed within the scope of and for the purpose necessary to register the Participants for the event and the dissemination of information about other initiatives from Polonium Foundation and will not be distributed further or transferred to other organisations, the principles arising from the general provisions of the law, with particular emphasis on the Personal Data Protection Act from 29 August 1997 (Dz. U. No. 133 pos. 833 with later amendments). The Participants have a right to access and amend their personal data at any point. Sharing personal data is voluntary but necessary for registering for Career Cafe.
13.6. These Terms and Conditions shall take effect immediately from the day of its publication on the website http://www.poloniumfoundation.org
13.7. The Organisers reserve the right to change the provisions of these Terms and Conditions. Amendments shall take effect after seven days from the day they are published on the website http://www.poloniumfoundation.org.
